Job Title:
Office Manager
Location: SLOGA Secretariat. St Louis College, Jos
Reports to: SLOGA National Secretary
Job Summary:
The SLOGA Jos Office manager plays a key role in providing administrative support and coordination for the SLOGA Jos Alumni Secretariat office. This individual is responsible for managing day-to-day operations, coordinating office activities, and ensuring efficient communication with alumni, staff, and stakeholders.
Key Responsibilities:
- Administrative Support:
- Provide administrative support to the secretariat office, including managing correspondence, scheduling appointments, and organising meetings.
- Maintain office supplies inventory and ensure adequate stock levels for smooth operations.
- Handle incoming calls, emails, and inquiries, and direct them to the appropriate personnel.
- Prepare and distribute documents, reports, and correspondence as needed.
- SLOGA Jos Office Coordination:
- Coordinate office activities and ensure the efficient flow of information within the organization.
- Schedule and coordinate meetings, appointments, and events for staff, alumni, and stakeholders.
- Assist in making travel arrangements and accommodations for staff and visitors as necessary.
- Maintain office calendars, schedules, and databases to track appointments, deadlines, and events.
- SLOGA Jos Records Management:
- Manage and maintain electronic and physical records, files, and databases in an organized and accessible manner.
- Ensure confidentiality and security of sensitive information and records according to organizational policies and procedures.
- Assist in the development and implementation of record-keeping and data management systems as needed.
- Communication and Correspondence:
- Draft, edit, and proofread correspondence, reports, and other documents on behalf of the alumni association.
- Facilitate communication with alumni, staff, board members, and external stakeholders through email, phone calls, and other channels.
- Serve as a liaison between the secretariat office and other departments, committees, and external partners.
- Financial Administration:
- Assist in financial administration tasks such as processing invoices, expense reports, and reimbursements.
- Maintain accurate records of financial transactions and expenses, and reconcile discrepancies as needed.
- Assist in budget preparation, monitoring, and reporting as directed by senior management.
- SLOGA Jos Event Coordination:
- Assist in planning, organising, and coordinating alumni events, meetings, and activities.
- Coordinate logistics such as venue booking, catering, audio-visual equipment, and participant registration.
- Provide on-site support during events to ensure smooth operations and attendee satisfaction.
Qualifications:
- Minimum First School Leaving Certificate (Applicant must be a SLOG)
- Good organisational and multitasking skills with the ability to prioritise tasks effectively.
- Strong communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
- Proficiency in Microsoft Office Suite and office management software is a plus
- Attention to detail and accuracy in data entry, record-keeping, and document preparation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to work in a dynamic environment.
- Knowledge of alumni relations, higher education, or non-profit organisations is a plus.
- Proven experience in office administration, coordination, or a similar role is a plus.

- Technology Proficiency
- Office Software: Training on commonly used office software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and any specific software used by SLOGA Jos.
- Database Management: Understanding how to manage alumni databases, including data entry, updating records, and generating reports.
- Social Media Platforms: Basic training on social media platforms relevant to SLOGA Jos’s outreach efforts, such as Facebook, Twitter, LinkedIn, Instagram, etc.
- Collaboration Tools: Familiarity with collaboration tools like Slack, Microsoft Teams, or project management software for coordination with the SLOGA Jos National PRO.
Work Schedule: 9.00am to 5.00pm on Mondays, Wednesdays, and Fridays
Salary Range: N30,000 – N35,000
